Administrative Assistant
Description We are looking for a detail-oriented Administrative Assistant to join our team in Eagan, Minnesota. In this Contract-to-permanent position, you will play a critical role in ensuring company vehicles and operations remain compliant with regulatory requirements while managing vehicle asset records. This is an excellent opportunity for individuals with a background in logistics or fleet management who thrive in a fast-paced environment. Responsibilities: • Coordinate the accurate and timely licensing, permitting, and registration of company-owned and contractor vehicles. • Maintain detailed records of licenses, permits, and certifications, ensuring expiration dates are tracked and renewals are completed on time. • Act as the primary point of contact with regulatory agencies, such as the Department of Transportation and motor vehicle departments, to facilitate compliance processes. • Prepare and submit necessary documentation and payments for vehicle licenses, permits, and registrations. • Conduct regular audits to ensure compliance with licensing and permitting standards, supporting readiness for external inspections. • Investigate and resolve discrepancies related to permits, licenses, or regulatory requirements efficiently. • Generate reports for management, highlighting the status of licenses and permits along with any compliance risks. • Support additional administrative tasks to contribute to departmental goals and operational needs. Requirements • High school diploma or equivalent. • Minimum of 2 years of experience in transportation, licensing, or fleet asset management. • Proficiency in Microsoft Office Suite, including Excel, Outlook, and Word. • Familiarity with fleet management systems is an advantage. • Strong organizational and record-keeping skills. • Ability to communicate effectively with regulatory agencies and internal teams. • Previous experience in logistics or transportation industries preferred. • Attention to detail and the ability to manage multiple deadlines.
