Administrative Assistant
Description We are looking for a detail-oriented Administrative Assistant to join our team in Dallas, Texas, on a Contract-to-permanent basis. In this role, you will play a pivotal part in supporting the accounting department by providing essential administrative and clerical assistance. This position requires excellent organizational skills, the ability to multitask, and a commitment to maintaining high levels of professionalism while handling sensitive information. Responsibilities: • Organize and maintain both physical and digital records, ensuring accuracy and compliance with company procedures. • Issue Certificates of Insurance to clients and subcontractors upon request, managing the process efficiently. • Assist the project accounting manager with contract-related tasks, including editing and preparing subcontract agreements. • Update and audit databases, spreadsheets, and reports to ensure error-free and timely submissions. • Perform clerical tasks such as scanning, copying, and filing documents to support daily operations. • Provide data entry and document drafting support for the accounting department, ensuring consistency and accuracy. • Coordinate project tasks, timelines, and resources to help meet departmental goals. • Handle confidential information with the utmost discretion and professionalism. • Maintain regular attendance and punctuality to ensure seamless collaboration. • Undertake additional duties as assigned to support departmental needs. Requirements • Proficiency in Microsoft Office Suite, including Excel, Word, Outlook, and PowerPoint. • Strong data entry and organizational skills with exceptional attention to detail. • Ability to handle inbound and outbound calls professionally and provide excellent customer service. • Experience in managing email correspondence and scheduling appointments effectively. • Familiarity with maintaining records and databases in a structured manner. • Capability to draft, edit, and format documents and reports with clarity. • Skilled in managing multiple tasks and meeting deadlines in a dynamic environment. • Demonstrated ability to work with sensitive information while maintaining confidentiality.
