Administrative Assistant - Chicago

We are currently seeking an Administrative Assistant to support the Investor Solutions Team (IST).  The position is located in Chicago, IL. This vital administrative position manages daily administrative tasks, coordinates logistics, and provides project assistance to ensure timely completion of team objectives within our dynamic, collaborative workplace.

Administrative Support

Maintain calendars, schedule appointments, coordinate calendars, and manage travel for multiple team membersCoordinate travel arrangements, itineraries, and expense reports and invoices for team membersCoordinate logistics for client events, team meetings, and other gatheringsHandle incoming communications (phone calls, emails) and direct them to appropriate team membersMaintain team calendar of key dates, deadlines, and deliverablesUpdate contact databases and client relationship management (CRM) systems with accurate informationPrepare and format standard correspondence, presentations, reports, and other documentsOrganize and prepare materials for client meetings, presentations, and internal team sessionsTrack and follow up on action items from team meetings and client interactionsSupport the distribution of investor communications and marketing materialsSend documents via mail, UPS or FedExEfficiently handle executives' requests and inquiriesMaintain and organize digital filing systems for team documents and recordsOrder supplies and submit equipment requests for team membersProvides backup coverage for other areas as neededHandles any other miscellaneous duties as requested

Qualifications

Associate's degree or higher; business administration preferred5-10+ years of administrative experience, preferably in a professional services environmentStrong proficiency with Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)Experience with scheduling, calendar management, and meeting coordinationBasic understanding of office procedures and administrative processesExcellent organizational skills and attention to detailProfessional communication skills, both written and verbalAbility to maintain confidentiality with sensitive informationBasic knowledge of document management and filing systemsStrong time management and self-motivation abilitiesAbility to multi-task in a fast-paced environment, working within a team structure and independentlyCustomer service orientation with friendly, helpful attitudeCritical thinking to analyze problems and develop and implement practical, effective solutions

Estimated total compensation for this position:

70,000.00 – 70,000.00 USD per year

The total compensation range is an estimate and not guaranteed. An employment offer is based on an applicant's education, experience, skills, abilities, geographic location, internal equity and alignment with market data .
