Position Summary

The Rice University School of Architecture seeks an administrative assistant to provide frontline administrative support for the School of Architecture, serving as the receptionist in the Welcome Center, monitoring and responding to calls and emails, and providing general administrative support to faculty, staff, and students. The administrative assistant will interact with a variety of stakeholders on behalf of the school, such as faculty, staff, students, alumni, parents, friends of the school, and community partners. They execute diverse administrative tasks and build relationships to accomplish various functions in the School of Architecture. The administrative assistant will uphold professionalism, discretion, efficiency, and attention to detail consistent with Rice School of Architecture's values.

The ideal candidate possesses strong organizational skills, time and task management, detail focus, professionalism, discretion, and relationship-building skills. 

They will provide daily administrative support to the school’s faculty, the Associate Dean for Research and Academic Affairs, and the student support team, including assisting with event planning, set up, execution, and clean up. This role will facilitate all course travel for students and faculty, including itineraries, reservations, expenses, and reconciliation. The administrative assistant will provide support for ordering food, supplies, and materials for a variety of activities and will also manage mail distribution and processing. This position is exclusively on-site, necessitating all duties to be performed in person at Anderson Hall from Monday through Friday, from 8:30 a.m. to 5 p.m., and occasional evenings.  Per Rice policy 440, work arrangements may be subject to change.

Hiring Range

This is a full-time, benefits-eligible position with an hourly rate of $22/hour.

Minimum Requirements

High School Diploma or equivalent Two or more (2+) years’ of related experience 

Skills: 

Proficient computer skills and demonstrated experience with MS Office software and email applications Basic knowledge in desktop publishing is welcome (e.g. Adobe Suite) Demonstrated success in follow-through and completing routine tasks  Advanced organizational skills and attention to detail Advanced verbal and written communication skills Excellent customer service and interpersonal skills Ability to prioritize and multitask

Essential Functions

Serves as primary receptionist for the School of Architecture, greeting guests in the Welcome Center, answering phones, and responding to school emails Arranges travel for field trips, global workshops, and course-related activities Plans and schedules calendar(s), resolves calendaring conflicts Processes and monitors financial transactions, including resolution of discrepancies Schedules, organizes, and operates lectures and events, including recommending vendors for services, overseeing the production and distribution of materials, coordinating logistics, and serving as liaison with internal and external vendors Maintains office supplies and equipment; obtains vendor quotes, as needed Performs tasks in support of faculty affairs, management of records related to students and courses, and  Performs other duties as assigned
