Administrative Assistant
Description SUMMARY The Temporary Administrative Assistant plays an important role in supporting our team and ensuring smooth daily operations. As the first point of contact for visitors, customers, and team members, this position helps maintain our company’s welcoming and professional environment. This role will provide essential administrative support and assist with routine HR and Team Member service tasks during a period of transition. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. Administrative • Greets customers, team members, vendors, and visitors professionally and courteously, ensuring compliance with company security and Good Manufacturing Practices (GMP) procedures. • Ensures the front lobby and desk area present a positive and professional impression on visitors. • Answers and directs incoming calls efficiently, representing the company pleasantly and efficiently. • Oversees all mail operations, including managing shipments and handling the receiving, sorting and distribution of incoming and outgoing mail. • Performs clerical tasks such as folding, sorting, stuffing envelopes, maintaining files, and compiling data for records and reports. • Manages and stocks office, mailing, and breakroom supplies by monitoring inventory levels and placing orders as needed. • Performs light housekeeping duties as needed. HR Support • Maintains and verify team member files and compiles data for reporting, ensuring the utmost discretion in handling sensitive and confidential information. • Assists with event coordination, this may include planning, set up, clean up, and organizing meals for company events, customer visits, and Leadership/HR team meetings. • Collaborates with the HR team to execute on Team Member recognition programs including Leading the Whey and milestone celebrations, and other HR projects / initiatives. • Manages expenses on company credit card, approves invoices, responsible for petty cash and the reconciliation of petty cash. • Supports the Talent Acquisition team with scheduling on-site panel interviews for Director level or above, or international travel, and ensuring a positive candidate experience. Serves as a point of contact for candidates, providing logistical support, as needed. • Arranges travel for candidates as requested. Ensure all travel accommodations align with policy guidelines.
