Administrative Assistant

Your Role 

Gensler’s Santo Domingo office is seeking an Administrative Assistant. This role supports Office Managing Directors and other team members by ensuring smooth daily operations, handling administrative tasks, and assisting with some general office coordination. You will be a key contributor to the team’s productivity and the overall workplace experience. 

 

What You Will Do 

Provide day-to-day administrative support including calendar coordination, meeting logistics, travel arrangements, and expense reporting 

Assist with formatting documents, presentations, and internal communications 

Help coordinate studio events, team meetings, and celebrations to support studio culture 

Maintain shared calendars, meeting room bookings, and studio schedules 

Support the onboarding process for new hires by helping prepare desks, supplies, and welcome materials 

Assist with tracking and organizing project files and documents 

Collaborate with Studio Coordinators and Operations team to help maintain office supplies and ensure readiness of common spaces 

Coordinate local courier/shipping services, vendor deliveries, and light facilities needs in partnership with regional teams 

Help keep key studio metrics and reports updated as needed (e.g. timesheets, project tracking tools) 

Support occasional client events or in-office meetings with hospitality and logistics 

Liaise with shared services teams (Marketing, HR, IT, Finance) to help coordinate local actions or communications 

Handle confidential and sensitive information with professionalism and discretion 

Provide backup support to other administrative or studio staff as needed 

 

Your Qualifications 

2+ years of experience in an administrative or office support role, ideally within a professional services or creative industry 

Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint).  

Fully bilingual in Spanish and English, with strong written and verbal communication skills in both 

Excellent organizational skills and attention to detail 

Ability to work both independently and collaboratively in a fast-paced environment 

Positive attitude, high level of professionalism, and strong sense of accountability 

Comfortable handling multiple priorities and adapting to shifting needs
