Administrative Assistant
Description We are looking for a detail-oriented Administrative Assistant to join our team on a contract basis in Seattle, Washington. This role requires a proactive and organized individual who excels in multitasking, communication, and maintaining a positive demeanor in a fast-paced environment. If you have strong technical skills and experience in hospitality or sales and catering, this position offers an excellent opportunity to contribute to dynamic organizational efforts. Responsibilities: • Provide administrative support by managing schedules, coordinating appointments, and organizing meetings. • Handle inbound and outbound calls and respond to email correspondence with professionalism and accuracy. • Perform data entry tasks and maintain meticulous records to ensure operational efficiency. • Utilize Microsoft Word, Excel, PowerPoint, and Outlook to create reports, presentations, and other necessary documents. • Collaborate with team members to complete amenity forms and ensure smooth event planning processes. • Enter event details and manage bookings using Delphi and BirchStreet systems. • Communicate effectively with guests and staff, fostering a positive and welcoming environment. • Maintain a high level of attention to detail while working under pressure and meeting deadlines. • Support catering and sales efforts by assisting with administrative tasks and ensuring seamless coordination. • Independently prioritize tasks while working collaboratively to promote a culture of teamwork. Requirements • Proficiency in Microsoft Office Suite, including Word, Excel, PowerPoint, and Outlook. • Previous experience in administrative roles, preferably within hospitality, sales, or catering environments. • Strong written and verbal communication skills with excellent grammar. • Ability to multitask effectively, work in a fast-paced environment, and pay close attention to detail. • Familiarity with Delphi and BirchStreet systems is highly desirable. • Exceptional organizational skills and the ability to work independently. • Positive and gracious demeanor with excellent interpersonal skills. • Results-oriented mindset and the ability to remain flexible under pressure.
