Administrative Assistant
Description We are looking for a reliable and detail-oriented Part Time, On Site Administrative Assistant to join our team in Lake Geneva, Wisconsin. In this pivotal role, you will handle a variety of administrative tasks that ensure smooth daily operations while supporting team members and clients. This is a Contract-to-permanent position, offering an excellent opportunity to contribute to a collaborative office environment while growing professionally. Responsibilities: • Process incoming bills with accuracy and enter them into the system to maintain up-to-date financial records. • Organize and update schedules in project management tools, ensuring timely follow-ups on tasks and deadlines. • Maintain both physical and digital records, ensuring all files are organized and easily accessible. • Coordinate with team members to monitor workflows and keep tasks on track. • Track the status of submitted tax returns using software tools, ensuring they are completed and up-to-date. • Use Microsoft Office Suite, including Outlook, Word, and Excel, to manage lists and track activities. • Answer inbound calls and respond to email correspondence to support client and team needs. • Schedule appointments efficiently and provide exceptional customer service. • Adapt to seasonal work hours, increasing availability during peak tax season. Requirements • Proven experience with scheduling, project tracking, and workflow management systems. • Proficiency in Microsoft Office Suite, especially Outlook and Excel; familiarity with database software is a plus. • Strong organizational and multitasking skills with keen attention to detail. • Excellent communication skills and ability to interact professionally with clients and colleagues. • Previous experience in data entry and email correspondence. • Comfort with answering inbound and outbound calls, delivering high-quality customer service. • Willingness to work fully onsite in Lake Geneva, Wisconsin. • Flexibility to adapt to varying work hours depending on the season.
