Administrative Assistant
Description We are looking for a part-time Administrative Assistant to join our team in Santa Barbara, California.This position strikes a balance between office management, administrative coordination, and hands-on support, making it ideal for an organized, proactive individual who thrives in a dynamic, team-oriented environment. + Ensure the office is clean, organized, and welcoming. + Take care of light cleaning tasks, plant maintenance, and conference room setup for meetings or events. + Prepare workspaces and materials for new hires to create a seamless onboarding experience. + Oversee the inventory, budget, and ordering of office snacks and beverages, adjusting supplies to align with events and staff occupancy. + Serve as the first point of contact by greeting visitors, answering calls, and handling front desk responsibilities. + Deliver exceptional customer service to all attendees, guests, and team members. + Coordinate and maintain relationships with vendors, such as cleaning services, landlords, delivery providers, and office supply vendors. + Assist with office technology, including troubleshooting conference room systems, laptops, and other equipment. + Manage conference room calendars, organize and file documents, scan materials, and perform other administrative tasks. + Purchase and manage inventory for office supplies, equipment, snacks, and other necessities to ensure the office is properly stocked. + Handle various errands, including shipping packages, picking up lunches, and purchasing essential items within a walking distance of the office. + Set up and clean up conference rooms or common areas before and after events or meetings. + Coordinate recognition efforts like birthday celebrations, milestone acknowledgments, and appreciation gifts for employees. Requirements Qualifications: + BA/BS degree preferred, but not required. + At least 1 year of administrative or relevant experience in a similar role. + Proficiency in Gmail and Google Calendar (strongly preferred). + Highly adaptable, flexible, and comfortable taking on a variety of tasks. + Tech-savvy, with a strong ability to learn and troubleshoot systems and technologies. + Proven ability to maintain confidentiality, given interactions with executives and sensitive information. + Strong verbal and written communication skills. + Self-motivated with excellent time management, capable of thriving in a fast-paced environment. + Meticulous attention to detail and organizational mastery.
