Description
We are looking for a detail-oriented Administrative Assistant to join the Equity & Inclusion Department of an entertainment union. This is a Contract position, providing essential support for diversity committee operations and events while covering for an employee on leave. The ideal candidate will possess exceptional organizational skills, strong communication abilities, and a commitment to fostering inclusivity. The entertainment union offers a 35-hour work week, Remote/hybrid work schedule - with 2 days in office and 3 days WFH, hours are 9-5 with a 30-minute lunch. Parking is validated, and the position pays $23.56/hr.
Responsibilities:
• Coordinate and schedule national and local diversity committee meetings, including preparing documents, developing agendas, tracking attendance, and processing accommodations.
• Assist in planning and executing diversity-focused events, managing ticket distribution, invitations, event logistics, and internal review processes.
• Draft and manage communications such as e-blasts, press releases, and acceptance speeches, ensuring timely delivery of materials for event presentations.
• Maintain accurate records and track progress for diversity committee projects using tools such as ClickUp.
• Provide administrative support for nominations, compliance reviews, and travel arrangements related to committee activities.
• Organize and oversee event-day logistics for various initiatives, including local and national diversity committee events.
• Support additional projects such as local roundtable events, film festivals, and other committee-led initiatives.
• Handle routine administrative tasks, including email correspondence, data entry, and scheduling appointments.
Requirements • Proven experience in administrative roles, demonstrating strong organizational and multitasking abilities.
• Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
• Excellent verbal and written communication skills, with a meticulous approach to customer service and correspondence.
• Familiarity with scheduling tools and event coordination processes.
• Ability to manage data entry tasks efficiently and maintain accurate records.
• Experience handling inbound and outbound calls in a detail-oriented setting.
• Strong attention to detail and the ability to prioritize tasks effectively.
• Previous experience supporting diversity-focused initiatives or events is a plus. TalentMatch®
