We support everything from routine outages to complex plant expansions, with specialized experience in boilers, turbines, paper machines, and more. Project Services, LLC is looking for a proactive and highly organizedAdministrative Assistantto join our team. Based at our corporate office in Marietta, GA, this full-time role (40 hours/week) is ideal for someone who thrives in a fast-paced environment and enjoys handling a variety of administrative and operational responsibilities. This position plays a critical role in supporting office management, billing and invoicing, scheduling, and client coordination.
Responsibilities:
+ Provide comprehensive administrative and office management support to ensure smooth daily operations in a fast-paced office environment.
+ Support key financial processes, including billing, invoicing, accounts payable, and accounts receivable, in coordination with internal finance teams.
+ Prepare quotes and schedule on-site services in a timely and accurate manner.
+ Interpret and process customer purchase orders in accordance with company policies.
+ Serve as a primary point of contact for customer inquiries, ensuring professional and timely communication.
+ Maintain accurate records, reports, and filing systems; organize and archive documentation in compliance with company standards.
+ Collaborate with other ATS locations to coordinate documentation and work processes.
+ Arrange and manage all aspects of travel logistics for personnel, including airfare, accommodations, and rental vehicles.
+ Perform additional administrative duties and special projects as assigned by management.
Qualifications
Required Experience and Skills:
+ Proficiency in Microsoft Office Suite (Word, Excel, Outlook); experience with database systems strongly preferred.
+ Demonstrated ability to handle sensitive financial and client information with confidentiality and accuracy.
+ Strong written and verbal communication skills; ability to communicate clearly with both internal stakeholders and external clients.
+ Exceptional attention to detail with a high level of accuracy in all work performed.
+ Proven ability to manage multiple tasks simultaneously and prioritize workload effectively in a dynamic environment.
+ Self-starter with the ability to work independently as well as part of a team.
+ Experience using standard office equipment (e.g., printers, scanners, fax machines).
+ Prior customer service or client-facing experience is highly desirable.
+ High school diploma or equivalent required; associate or bachelor’s degree preferred.
