Administrative Assistant

Basic Purpose:

The Administrative Assistant is an integral part of MSIM’s North America Intermediary Sales leadership team. The role of the Administrative Assistant is to provide dedicated support to the Head of North America Sales, senior leadership team and Business Manager. This role will provide general administrative support. There is great opportunity for team/department contribution for those looking for a dynamic, professional, and fun work environment. Primary Responsibilities:

Administrative support including travel logistics, calendar management, expense management, team meeting preparation and follow-up coordinationArrange all aspects of travel which includes booking flights, providing travel itinerary, arranging hotels and car service, assisting with international travel requirements, as neededProactively manage calendars via Outlook which includes scheduling meetings, conference calls, addressing meeting conflicts, assisting with hosting Zoom meetings, room reservations and material preparationPrepare and submit expense reports on a timely basis for travel or business-related expenses, follow up on discrepancies and missing receipts to keep balances currentProcess invoices and create funding requests using internal platformsSupport regular needs relative to internal business strategy and update materials including data collection and presentation preparation, maintenance and updatesAbility to maintain confidentiality and handle sensitive information with integrityAssist team with the onboarding/offboarding of employeesPurchase and send gifts, set up lunch and dinner reservations and organize social eventsAssist with ad hoc projects and provide backup coverage for other administrative assistants, as neededManage other administrative activities including maintenance and distribution of reports and email distributions, technology requests, preparing copies, ordering office supplies, distributing incoming and outgoing mail and packages and greeting guestsOther duties may be assigned to meet the business needs

Qualifications – External Skills Required:

Bachelor’s Degree preferred3+ years of prior administrative experience, executive assistance experience preferredInvestment management industry experience preferred but not requiredExperience supporting multiple senior professionals handling calendars, travel and meeting preparationAttention to detail, follow-up with a sense of urgency, and strong organizational skills are essentialFlexible attitude with willingness to take on new assignments and manager support as group grows or changesExperience and strong knowledge of Concur for expense management, SharePoint and Ariba a plusProficiency in Microsoft Office, specifically with Outlook. Presentation experience highly desiredSelf-starter and proven ability to act proactively

Expected base pay rates for the role will be between $80,000 and $105,000 per year at the commencement of employment.  However, base pay if hired will be determined on an individualized basis and is only part of the total compensation package, which, depending on the position, may also include commission earnings, incentive compensation, discretionary bonuses, other short and long-term incentive packages, and other Morgan Stanley sponsored benefit programs.
