JOB SUMMARY
Overall program management including contract outcomes, leadership and supervision, clinical operations, training, fiscal and billing controls, EHR, workplace safety, and policies & procedures.
RESPONSIBILITIES

• Responsible for the overall efficient and effective operation of program administrative department.
• Functions as administrative assistant for the Program Manager, which includes preparing correspondence and developing reports from written or oral communication.
• Performs word processing, spreadsheet operations and data base operations using Microsoft Office software.
• Transfers information and documents as required to other programs via email, facsimile or mail.
• Maintains quality assurance program for chart documentation.
• Greets, receives, and assists visitors and callers.
• Responsible for petty cash account, safeguarding the account and accurately accounting for all assigned finances.
• Logs receipt of incoming checks and/or cash, and deposits in appropriate account through designated channels.
• Aids in general management of center including running errands as assigned.
• Complies with all MHS and program rules, policies and procedures, and HIPAA standards.
• Demonstrates commitment to professional growth by attending in-service trainings and staff development programs and seeking out supervision when needed.
• Maintains a minimum degree of cultural competency and cultural sensitivity by attending annual training, and routinely demonstrate these traits in everyday work relationships.
• Resourcefulness, initiative, and the ability to work with minimal direction and supervision.
• Utilizing logical problem-solving techniques both independently and in collaboration with workers in dealing with client needs.
• Create written documentation that is legible, clear, and concise.
• Maintain confidentiality.
• Stay current on staff training issues, needs and opportunities.
• Follows administrative chain of command.
• Other relevant duties as assigned.
• Comply with all MHS and program rules, policies and procedures including HIPAA standards.
QUALIFICATIONS
• High school diploma or GED equivalent.
• Three years’ full-time, executive, or administrative assistant experience performing duties similar to those required by this position.
• One-year supervisory experience.
• Knowledge of substance abuse programs and treatment.
• Proficient user of Microsoft Office Suite and EHR software
• Working knowledge of filing/record keeping and commonly accepted office practices in a professional setting.
• Ability to problem solve and react appropriately to emergency situations.
• Ability to work independently and effectively collaborate with a team.
