General Statement of Duties

Performs administrative office and clerical duties; performs related work as required. 

 

Classification Summary

The primary function of an employee in this class is to perform office and clerical duties and provide secretarial support services for the Department staff. Duties range from routine general clerical assignments to more advanced organizational functions requiring independent judgment and initiative. An employee in this class may be the first contact the public has with the Department and provides general information. An employee in this class may be assigned to other duties in the Department. The work is performed under the direct supervision of the Fire Chief. The principal duties of this class are performed in a public office environment.

 

Essential Duties and Responsibilities

 Provides general clerical, secretarial, and administrative services to Department staff, as assigned, including greeting the public, telephone service, handling incoming and outgoing mail, preparing reports, correspondence, and mailings, and scheduling meetings. Responds to inquiries, questions, and information requests from the public. Monitors the Department's radio traffic. Performs secretarial and clerical duties for the Department and Fire District meetings. Maintains and posts ambulance response records and billing information. Maintains office filing and information storage systems, performs information filing and retrieval services, and maintains databases, correspondence files, information files, mailing lists, and related information. Assists with preparing monthly, annual, and other required periodic Department reports to the City, state, and other agencies. Performs other office and support duties as assigned.  Performs all duties and activities in compliance with City and Department policies, procedures, and safety practices.  Other Duties and Responsibilities  Records and reports daily to the National Weather Service. Performs other related duties as required.

 

Knowledge, Skills and Abilities


Knowledge of:

 Methods, policies, objectives, and standard practices of office, clerical, and administrative procedures.  Operation of standard office equipment and a personal computer and software applications for word processing, spreadsheets, presentations, database management, and related office procedures. Customer service, personal interaction, and telephone skills.  Record keeping practices and procedures.  Basic bookkeeping, cash handling, and accounting methods and procedures.  Appropriate language use, grammar, and punctuation.

 

Ability to:

Follow written and oral instructions. Observe Department policies and procedures. Learn Department programs, policies, procedures, and processes sufficiently to convey information to the public. Operate standard office equipment, including a personal computer, using program applications appropriate to assigned duties. Type 45 words per minute. Prepare and present oral and written reports and information. Prepare and maintain correspondence, reports, records, databases, and information files. Perform accounting and mathematical functions.  Conduct research and analysis of special or assigned projects.  Accurately produce and proofread numerical and text documents. Communicate effectively and establish and maintain working relationships with the public and other employees. Maintain office, Department, and individual confidentiality.

 

Acceptable Experience and Training

 A high school diploma or GED equivalency is required.   One (1) year of office, secretarial, or related experience is required; or  Any equivalent combination of experience and training provides the knowledge and abilities necessary to perform the work.  

 

Special Qualifications

·         Idaho Valid driver's license.

Sufficient clarity of speech and hearing, with or without reasonable accommodation, which permits the employee to discern verbal instructions, use a telephone and two-way radio, and communicate with other employees and the public. Sufficient visual acuity, with or without reasonable accommodation, which permits the employee to comprehend written work instructions and comprehend and prepare documents and text forms.  Sufficient manual dexterity, with or without reasonable accommodation, which permits the employee to operate standard office equipment and make adjustments to equipment and operate a motor vehicle.  Sufficient personal mobility, flexibility, agility, strength, and balance, with or without reasonable accommodation, which permits the employee to work in an office environment and perform standard office functions.
