Job DescriptionThe Administrative Assistant will work under the direction and guidance of the Executive Assistant and the VP, Business Strategy to provide administrative and personal support to the Chairman, NBCU Entertainment & Studios.
Essential Responsibilities:
Daily administrative duties including, but not limited to, managing appointments & reservations, maintaining rolodex, booking conference rooms, facilitating IT support, generating parking passes, managing arrivals, cataloging and distributing incoming and outgoing mail, coordinating meals, setting reminders, and ordering & restocking office materialsEnsure calendar is up-to-date with latest event & meeting detailsAssist with travel itinerary and confirm any logistics (hotels, flights, meal reservations, etc.)Prepare meeting materials including credit/client list, bio, & recent headlinesManage all aspects of office gifting including researching, planning, and executing thoughtful gifts for high-profile clients as well as sending greeting cardsCover desk & phones of Executive Assistant when neededRun (often time-sensitive) errands on and off the lotMaintaining Airtable board to track tasks and eventsInteract with across all divisions of NBCU, including production, marketing/publicity, distribution, business affairs, communications, and HRQualificationsBasic Requirements:
Bachelor’s degree or higherMinimum 1 year of demonstrated successful organizational skills and the ability to prioritize in an Assistant role covering a deskMinimum 1 year experience and demonstrated ability in Outlook, Microsoft Word, Excel, PowerPointAbility to establish and maintain good working relationships with individuals within NBCUniversal and in the business communityDemonstrated ability to handle sensitive and confidential information with discretion and integrityCandidates must have a valid driver’s license and reliable form of transportationDesired Characteristics:

Required On-Site: This position is required to be performed full-time from an NBCUniversal-designated worksite. Limited nights and weekends are required as well.This position is eligible for company sponsored benefits, including medical, dental and vision insurance, 401(k), paid leave, tuition reimbursement, and a variety of other discounts and perks.
