It requires maintaining security of computerized and written information and the ability to maintain confidentiality. The Administrative Assistant 1 ADS BCI will also perform a variety of tasks and administrative duties in support of the Office of Field Command.DUTIESThis position requires a large amount of word processing. Speed and accuracy are essential, as well as excellent knowledge of Microsoft Word, Microsoft Office, Excel and Access.Type correspondence and other documents to be signed by the Superintendent, Deputy Superintendent - Field Command, ADS BCI, and Staff Inspector BCI, ensuring correct grammar, format, and compliance with State Police policy.Proofread correspondence prepared by other sections for signature by the ADS - BCI.Open and review incoming mail and e-mails received by the ADS - BCI and direct incoming correspondence to the appropriate staff member.Maintain appropriate tickler system, ensuring replies are received in a timely fashion and make follow-up calls to Troops, when necessary.Maintain accurate files of work completed and pending matters to ensure efficient operation and ability to retrieve materials as needed. Review and update subject files.Make travel arrangements and prepare associated travel vouchers.Maintain calendar for the ADS BCI staff. Schedule meetings, appointments, etc. for the members assigned to the unit.Answer telephone in a polite and professional manner and transfer calls or take accurate messages, as necessary. (Telephone calls are received for all employees assigned to the Office of Field Command.)Greet and escort visitors in and out of the building.Communicate and liaison with the BCI in the field regarding confidential information, access and maintain corresponding databases.Assist the Administrative Assistant 2 with other clerical tasks, as necessary. Minimum Qualifications One (1) year of permanent service as a New York State employee in a SG-6 position or higher; ORHigh School Diploma and two years of experience in administrative support, which includes use of office software (e.g., email, word processing), provision of customer service, business writing, and management in an office. Candidates must have appropriate clerical skills, knowledge of proper office procedures, including experience with conventional and electronic data filing systems, be proficient in the operation of personal computers and various software including Microsoft Word, Outlook, Access, and Excel.Minimum qualifications must be met by the closing date of the posting.
