No County Albany Street Address Division Headquarters - Office of Human Resources Management City Albany State NY Zip Code 12226 Duties Description Under the direction of the Director of Human Resources, the incumbent of this position will be responsible for the following:Provide administrative support to the Director and Associate Director of Human Resources, including scheduling meetings, maintaining HR calendars, and providing general customer service to OHRM staff as needed.Maintain an administrative and operational filing system for HR items including incoming and outgoing correspondence, job templates, procedures and process documents, etc.Prepare correspondence and other documents to be signed by the Director of Human Resources and other HR staff ensuring correct grammar, format and compliance with State Police policy.Open and review incoming mail and e-mails sent to HR and direct incoming correspondence to appropriate staff members.Monitor multiple HR and Personnel Unit electronic mailboxes; triage, respond to and route incoming emails as appropriate.Track and monitor all Civilian employees currently serving probation; monitor email inbox, send notifications to supervisors regarding overdue probation reports, review incoming HR-12 forms, and assist supervisors with issues during probationary period.May assist the Filing Unit with duties including data entry, systematic filing of documents, and maintaining organized employee personnel files. May track and process approved leave and attendance requests by adding to shared departmental calendar and entering into timekeeping software. Maintain a comprehensive list of ongoing projects, regularly updating the Director on their status and providing timely reminders of upcoming deadlines as needed. Greet and escort visitors to OHRM as appropriate.Other duties as assigned. Minimum Qualifications One (1) year of permanent service as a State Police employee in an SG-9 position or higher;OrTwo (2) years of permanent service as a State Police employee in an SG-6 position or higher.Preference will be given to candidates with:Administrative support experience and knowledge of proper office procedures, including experience with conventional and electronic data filing systems.Proficiency in the operation of personal computers and various software including Microsoft Word, Outlook, Access, Excel and other State Police systems and databases.Minimum qualifications must be met by the closing date of the posting.
