POSITION SUMMARY:
Responsible for providing efficient, effective, and professional secretarial and administrative support to Table Games including implementation of administrative systems, procedures, and policies, and monitoring administrative projects.
PRIMARY RESPONSIBILITIES:
Assists the Head of the Department in day to day activities including the organization, management of meetings and schedules, email management and department scheduleAssists the Head of the Department in tracking all action items including required communications between Table Games Logistics, Mass and Premium, VIP and other departments involvedAssists the Head of the Department in planning the schedule and training required for Table GamesPrepares, types, formats, proofreads documentation and displays initiative when preparing correspondence, agendas, minutes and other administrative work or verbal instruction as requestedCoordinates meetings and take minutes when requiredDistributes internal memos & information briefsCommunicates the Director’s instructions to other department and obtain information from various departments including completion of operational requirementsCollates Employee Rosters & processes Paid Day Off requestsMaintains accurate Employee Records in the Staff Database including common contacts of internal and external customers and regularly utilized informationResponsible for administrative duties regarding Standard Operating Procedures (SOP) and Policies & Procedures (P&P) of Table Games Logistics including maintaining a master file of approved SOPs and P&PsEstablishes and maintains an effective filing and retrieval systemProcesses payment request and reimbursement of department expensesMaintains office equipment and supplies for the departmentMaintains a clean and organized work environmentMaintains excellent grooming and personal conduct according to City of Dreams Mediterranean StandardsTo perform other duties as required by the Director of Table GamesPerformance StandardsActs as a team member to the department and to each other, as a support system, cooperating on projects and assignments, including best practices within the companyMaintains a high level of organization, including maintaining an orderly and neat work area and worksite, as well as organized work activities, in performing daily job tasks within the scheduled workdayMaintains a high degree of professionalism in the workplace, including standards for appropriate dress and appearance, respect for each team member, satisfactory attendance, open communication, job knowledge, a desire to succeed, and in all activities where you represent the Gaming Logistics through trust, productivity, confidentiality, and the highest levels of customer serviceIs responsive, accountable and provides feedback to management inquiries for information, clarification, suggestions, or observations regarding operational, staffing, mentoring, customer service, personal development, and productivityEnsures that all directives of the Head of the Department are carried out, serves as an effective channel of communication at all levels.Assists with the Recruitment, Roll-On & Settling in of Table Games StaffAssists & coordinates interview and recruitment processes of Logistics department through Human Resources – Gaming for the Head of Table GamesEnsures proper paperwork is sent to Human Resources for Manpower Requisition or any employee changes and maintains records of the sameAssists with the training and logistics as assignedConfidentiality & PolicySafeguard all confidential information whilst exercising due care to prevent its improper disclosure or use and demonstrates the utmost respect for the confidential nature of the information that is received or generated and distributed by the department.Comply with all company policies, rules, regulations, procedures, and department ethics and to perform all duties in accordance with the highest professional standards at all times.QUALIFICATIONS:
Experience
1 to 3 years’ experience as administrative assistant or relevantEducation
Secondary-level educationSkills
