Our team in Alpharetta, GA is looking for a Administrative and Site Support Admin.

This role is the liaison to the property manager, addressing all building function, safety, and maintenance needs.  The role is responsible for the ordering and management of maintenance, repair, services, equipment, and supply requests associated with the building, in addition to space planning for the suite and space management for occupants (including equipment, network, and access).

What You’ll Work On

Responsibilities include all facilities and administration  functions of the department: Greeting visitors to the Abbott Suite, answering phones, calendar management, scheduling travel, managing correspondence and scheduling couriers, processing expense reports, meeting/event planning, creating or modifying business documents, preparing presentations from source materials, acting as a liaison for remote access issues.

Uses and understands Microsoft Office Suite and other business-specific software, including the Corporate Travel Web site, Global Information Services for system, software, and hardware requests, Workday.

Coordinates new employee office set-ups and onboarding, including ordering IT and telecommunications equipment, setting up travel and expense accounts, submitting requests for software and interdepartmental site access.

Requests, issues, and collects building and suite access for new and existing employees, and guests.  Maintains access to fob/key control records.  Coordinates building access management with property manager.

Follows purchasing and requisition procedures, Corporate Security and Privacy Rules, Corporate Branding Guidelines, and document retention procedures.

Receives and relays, to appropriate individuals, all requests for equipment, or repairs to facility of equipment and infrastructure, including plumbing, HVAC, appliances, and office equipment.  Schedules and monitors vendors while on site completing repair work.   Maintains scheduling and supervision of all cleaning and suite maintenance services.

Maintains files of approved blanket and contract purchase orders including service contracts.  Reviews, records and processes purchase requests for equipment, repairs, and services in the associated global procurement software. 

Initiates, schedules and coordinates employee relocations or new employee setup in the Abbott suite.  This includes coordinating office space allocation and the processing of networking requirements.

Plans and strategizes space allocation utilizing floor plans and furniture layouts.

Tracks and completes orders for office and pantry supplies, office equipment accessories and supplies.

Supports all Company initiatives as identified by management and in support of Employee Health Services (EHS), Environmental Management Systems (EMS), and other regulatory requirements.

Maintains Emergency Action Plan documentation and trains staff on emergency procedures.  Coordinates fire and safety drills in conjunction with property management.

Tracks off-site storage for records retention, equipment, and furnishings.

Intermediate to advanced knowledge and understanding of business processes and requirements.

Coordinates and maintains departmental files, as assigned, in compliance with corporate and government regulations.

Consistently interacts with high-level executives.

Frequently handles confidential or business-sensitive information.

EDUCATION AND EXPERIENCE YOU’LL BRING

High School Diploma / GED Or an equivalent combination of education and work experience

Minimum 5 years Administrative support

4- year degree preferred

Operates with general instruction and some supervision.

Intermediate to advanced knowledge of Microsoft Office Suite, Procurement systems.

The base pay for this position is $18.25 – $36.55 per hour. In specific locations, the pay range may vary from the range posted.
