Administration Manager

The incumbent is responsible for P&C administration operation services (cleaning, canteen, gardening, staff traveling, company car/transportation, assignee's housing/hotel, employee welfare, etc.) in compliance with local legislation and internal company policy/plans with high-quality and timely service. 

 

As the Administration Manager, you will: 

 

Administration 

Provide support for P&C administration operations and general administration services of high quality and timeliness, which includes managing employees' uniforms, safety shoes, cafeteria, cleaning services, housing management, and employee transportation.  Lead P&C-related contracts: leasing contracts, IA Housing Management, Domestic Hotel contracts, company car, canteen, cleaning, etc.    Responsible for leading service delivery by contractors for the factory, improving and enhancing the overall performance, and ensuring satisfactory results for the Company & employees.

Travel Expense Control

Power user of the Concur system and handles employee travel and expense matters. 

Coordinate with travel agent AMEX for flight booking, travel arrangements, hotel booking, transportation, etc.

Legal Compliance and Policies Set up and review existing Administration-related policies, procedures, guidelines, and proposed changes if required for improvement in line with Company requirements and compliance with J-SOX, JTI's code of conduct, and local legislation Budget Management  Responsible for budget planning for factory general expenses, LE/OL, performing expenditure analysis, and supporting factory audit. Support on the PR/PO process under the general operation services Other & Project support Support on factory projects including 5S3R, IMS (ISO), risk assessment implementation, CAPA, and enforcement. Leading in factory administration improvement initiatives.  Support on employee events and social activities assistance.  Manage various tasks and projects as they arise and upon the manager’s request

 

Requirements: 

Bachelor’s degree in Business and Management, or any equivalent At least 3 years of administrative, general services, or HR admin experience Strong project and vendor management skills. Able to work in a fast-paced, changing environment with strong attention to detail A team player with strong communication and stakeholder engagement skills Excellent Chinese and English communication skills
