Administration Executive, Executive Office
Job Description Support the Executive Office on all administrative matters including leadership meeting coordination, expense items, event organization and more.
Key Responsibilities
Coordinate meetings chaired by Executive Office - scheduling, agenda consolidation, minutes taking, event coordination, logistics and technical support. Act as shared resource to assist the Executive Office teams with administrative duties (e.g., calendar management, travel management, expense claims, document delivery, organizing major event organization such as town-halls). Support the Assistant Manager, CRM to update and manage CEO’s VVIP database and deliver greetings and gifts to VVIPs over special occasions (e.g., birthdays / anniversaries) and festive occasions (e.g., Christmas, New Year). Handle any other projects as may be assigned from time to time.
Critical Skills and Qualifications
University graduate in Business Administration or any relevant disciplines. Minimum 3 years of secretarial/administrative experience, preferably in sizable multinational companies, serving senior executive/c-suite positions. Good command of both written and spoken English, Cantonese, and Mandarin. Well organized, self-motivated, and a good team player. Ability to work independently with minimal direction.Strong interpersonal skills with ability to communicate effectively with internal and external stakeholders. Ability to multitask and prioritize tasks, demonstrating excellent time management skills. Ability to cope with a fast-paced working environment with composure and agility Confident in the role of a “gatekeeper” by handling ad-hoc tasks, proactively communicating changes, and responding to scheduling conflicts. Proficient in Microsoft Office 365 – Word, Excel, PowerPoint, Outlook, SharePoint, Teams.
