Your role as our Fundraising Administration Coordinator

To provide high quality and efficient general administrative support to the Fundraising Team at Wesley Mission Queensland. This role primarily supports fundraising activities for Hummingbird House, while also contributing to the important work of Hopewell Hospice and our Emergency Relief services. The Fundraising Administration Coordinator will ensure a streamlined experience for all stakeholders, provide accurate advice across fundraising activities, and deliver exceptional customer service at every step.

Key Role Accountabilities:

Support the financial management of the fundraising and marketing program, through processing invoices, expenses, reimbursements and financial reporting.

Support and undertake various donor care activities including but not limited to; thank you calls, letters, welcome emails, and information updates.

Liaise with the WMQL fundraising and finance teams to ensure personalization and on-time turnaround for all fundraising-related receipting and processing, and work to ensure accuracy in fundraising-related financial records.

Support current marketing, fundraising and event campaign delivery to respond knowledgably to opportunities and enquiries and assist team meet deadlines and targets.

Generate reports regarding the outcomes of WMQL campaigns and appeals.

Work with Fundraising Team to continually update current Customer Relationship Management systems with profiles for existing, prospective and emerging prospects of funding streams.

Contribute to the cleansing / maintenance and ongoing integrity of the iMIS database.

Assist third party community fundraising events to ensure positive delivery and results.

Help secure auction and raffle items for events and fundraising initiatives and maintain relationships, as needed.

Represent Wesley Mission Queensland Limited at various community events as required.

Coordinate tours of Hummingbird House as required.

About You

Experience undertaking similar administration duties in a small team environment.

High level interpersonal, verbal and written communication skills, including a commitment to maintaining confidentiality and an empathy for staff, residents and clients.

Ability to problem solve, using initiative and available resources.

Attention to detail with a high level of accuracy.

Strong organizational abilities, including effective time management and ability to prioritize tasks.

Ability to communicate effectively with distinct relevant audiences including but not limited to; Corporate supporters, individual donors, community groups and the general public.

Demonstrated competence in the Microsoft Office suite of applications.

Willingness to work flexible hours to meet the needs of the organisation and campaign objectives

Desirable:

Not For Profit experience highly regarded.
