The Administrative Assistant & Timekeeper II is responsible for providing comprehensive administrative support to Civil project teams and the regional office with a focus on daily timekeeping and personnel tracking to support Civil field operations. This role requires a working knowledge of time entry procedures and systems and general office operations.
Key Responsibilities:
Accurately enter and reconcile daily employee timecards in accordance with company policies and project schedules. Communicate with field supervisors and craft employees to collect, clarify, and verify timekeeping data. Maintain organized records of time entry, attendance, equipment usage, and project-related administrative documentation. Prepare and distribute daily and weekly reports related to manpower, time summaries, and job cost data. Support payroll processing by ensuring timely submission of hours and resolving discrepancies quickly. Assist with onboarding new hires by collecting required documentation and coordinating orientation schedules. Respond to inquiries from employees regarding time entry, payroll issues, and job assignments. Perform general administrative duties including filing, data entry, scheduling, document control, and supply inventory tracking. Provide backup coverage to other administrative roles as needed. Support a culture of safety and compliance on the jobsite, ensuring confidential and accurate handling of sensitive information.Requirements:
High school diploma or equivalent required; associate degree or relevant coursework preferred. Minimum 2 years of administrative experience, preferably in a construction or industrial environment. Proficient in Microsoft Office Suite (Outlook, Excel, Word); experience with timekeeping systems such as mJob, HCSS, Viewpoint, or SAP is highly preferred. Strong organizational skills with a high level of attention to detail and accuracy. Effective communication skills and ability to interact professionally with field employees, supervisors, and management. Ability to manage multiple tasks under tight deadlines in a fast-paced, team-oriented environment. Must maintain confidentiality of employee and project information.
Physical Requirements & Working Conditions:
Ability to work at a construction site or project field office environment, as needed, with extended periods of sitting, standing, and data entry. Occasional exposure to outdoor construction site conditions including heat, noise, and dust. May require travel between local project sites or to corporate offices as needed.
