Administrative and Logistics Manager
Overall Objective
The Administration & Logistics Manager is responsible for overseeing and streamlining all administrative operations within the World Vision DRC organization to ensure efficient support for its core activities. This role involves managing office resources, facilities, and administrative staff while ensuring compliance with organizational policies and legal requirements. The Administration and Logistics Manager also provides strategic guidance to improve operational systems, processes, and policies, contributing to the organization's overall effectiveness and success.
Key focus areas include facilities management, inventory coordination, Travel Coordination, Fleet management and fostering a productive and well-supported work environment.
Duties and responsibilities:
Office Management and Facility Operations:
Oversee day-to-day office operations, ensuring facilities and services run efficiently and in alignment with organizational standards.Develop and maintain office protocols for facilities use, maintenance schedules, and safety complianceLead the implementation of office policies to improve workplace efficiency and staff productivity.Administrative Leadership and Team Coordination:
Manage and support the NO administrative team, setting clear objectives and monitoring performance to achieve departmental goals.Support and provide technical backstop to Zonal administrative teams, setting clear objectives and monitoring performance to achieve departmental goalsCarry out regular visits to zonal Offices/Cluster to support Admin Teams for compliance and capacity buildingFoster a culture of collaboration, professionalism, and continuous improvement within the administrative team.Provide guidance and mentoring to administrative staff, promoting professional growth and development.Logistics and Asset Management:
Oversee logistics management, including fleet and transportation coordination (air ticket purchases, travel authorization, visas etc..), asset procurement, inventory control, and warehouse operations.Ensure assets are properly maintained, tracked, and documented according to organizational policiesImplement processes to monitor and optimize resource utilization, ensuring cost-effectiveness and compliance.Supervise direct reports in charge of immigration in order to obtain travel documents timelyCompliance and Risk Management:
Ensure adherence to local and international compliance standards, implementing corrective actions where necessary.Oversee risk management practices within the admin unit, focusing on facility security, health, and safety policies.Conduct regular audits and updates on policies, procedures, and controls to ensure full compliance.Reporting and Strategic Planning:
Compile and analyze data on administrative performance, preparing reports for senior management review. This includes reports on Assets, vehicles and other admin aspects.Participate in strategic planning to align administrative functions with organizational goalsRecommend improvements in processes, systems, and policies to support long-term operational efficiency.Minimum Qualification, Skills and Experience Required:
Required Professional Experience
Minimum of 5 years of experience in administrative management or coordination, with at least 5 years in a middle management role.Strong knowledge of office management, procurement, logistics, and compliance regulations.Exceptional organizational, analytical, and communication skills in French. Knowledge of English is desirableAbility to manage multiple priorities in a fast-paced environment.Required Education
Bachelor’s degree in Business Administration, Economics, Management, or a related field. Master’s degree preferred.
Proficient in Microsoft Office Suite and experience with office management software.
