The Medical Staff Office provides support to the Medical Staff structure and medical staff members, as well as advanced practice providers. The office provides all aspects of credentialing for the Medical Staff and Advanced Practice Providers as required by the accrediting body of the hospital to assure the hospital has qualified and competent providers providing safe care to patients within their training and scope of service.
PURPOSE OF POSITIONThe primary purpose of the Medical Staff Administrative Assistant is to serve as the principle reception to the Medical Staff office, medical staff members and hospital employees. This position will handle a variety of clerical and administrative duties and be assigned other projects as needed. The Medical Staff Administrative Assistant must provide professional, efficient, friendly customer service at all times, demonstrating Aultman Health Foundation’s mission and values.
QUALIFICATIONS High School Graduate or equivalent Associates or bachelor’s degree is preferred 1 – 3 years of experience in a professional office environment preferred Experience and knowledge with Microsoft Office, including Outlook, PowerPoint, Excel, Word. Experience with a Credentialing software system (MD-Staff) a plus. RESPONSIBILITIES & EXPECTATIONS Monitors, tracks, and manages expiring documents (license/certifications, insurance, etc.) for the entire medical staff necessary for credentialing to assure compliance with regulatory and accreditation standards. Database management, data entry, and generating reports from Credentialing Software system. Coordinates planning of medical staff events (Leadership Summits, Hippocrates Honor Society Induction Ceremony, Holiday Party, FunDoc activities, etc.), including creating event timeline, coordination with venues, supplies, partners, managing logistics, handling event registrations, communication with attendees, and event details. Coordinates monthly New Practitioner Orientation, including managing logistics and communication with attendees and presenters. Establishes and maintains a system to facilitate multiple Medical Staff committee meetings and tracks Medical Staff committee membership. Assists with Medical Staff policy revisions into the PolicyTech software program and tracks revision cycle. Stocks and orders supplies for office and Medical Staff lounge. Provides Administrative support to the VPMA and entire Medical Staff Office including: Greets all visitors to the Medical Staff Office, and immediately handles or appropriately refers all requests. Answers all incoming telephone calls and appropriately assists callers. arranging meetings and conferences, scheduling of meeting rooms and catering requests as needed. Prepares a variety of general office duties including: preparing reports, typing and collecting minutes, typing letters, correspondence, email distributions, and filing. WORKING CONDITIONS: Work 8 hours per shift. Primarily Day Shift, occasional evening and weekend coverage. Lunch periods and breaks are coordinated with other staff members to maintain adequate coverage. Cross training to other areas in the department to provide coverage as needed.
