POSITION SUMMARY:The Executive Assistant in Spain plays a crucial role in providing high-level administrative support to executives and senior management , also dealing with the daily basis in the office. This position requires a proactive, organized, and detail-oriented individual who can manage a variety of tasks efficiently and effectively, ensuring smooth operations within the executive's office.PRIMARY DUTIES AND RESPONSIBILITIES:Administrative Support: Manage and coordinate executive schedules for RVP, VP of Sales and services, Regional Management and country manager Spain, including meetings, appointments, and travel arrangements. Prepare and process expense reports.

Desk Management: Furniture, Business cards, stationery, archive, invoices, mobile phones, alarm , control access card, taxis.Document Preparation: Draft, edit, and prepare presentations, reports, and other documents as needed. Ensure all materials are accurate and delivered on time.Meeting Coordination: Organize and facilitate meetings, including preparing agendas, meals orders, organization, hotel and dinner bookings. Event Organization.H&S: Support the responsible of H&S in Spain – Aspy and Fremap.  Organization of annual medical check-ups. Buying work protective clothing for associates in the warehouse.Office Management: Maintain office supplies and manage the office environment to ensure it operates efficiently.Vendors relationship: relationship with vendors who help and support Mad and Bacelona office.Training: sending to the training Vendor the information about the associates who join the funding trainings in FUNDAE.  Supporting in the training documentation to be able to received Fudae funding.Madrid Shuttle : Handle Madrid Shuttle and organize Uber service.REPORTS DIRECTLY TO: Country ManagerMINIMUM SKILLS, KNOWLEDGE AND ABILITY REQUIREMENTS:Proven experience as an Executive Assistant or in a similar administrative role.Excellent organizational and time-management skills.Strong written and verbal communication skills in both Spanish and English.Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software.Ability to work independently and collaboratively in a fast-paced environment.Strong problem-solving skills and attention to detail.
