Job SummaryThe University of Michigan Health System is home to multiple Collaborative Quality Initiatives (CQIs) coordinating centers which seek to address some of the most common, complex, and costly areas of surgical and medical care. With funding from Blue Cross Blue Shield of Michigan (BCBSM), the CQIs work collaboratively with health care providers throughout Michigan to collect data to a centralized registry. The data are analyzed and shared to identify processes that lead to improved delivery of care and outcomes, and guide quality improvement interventions.
The Obstetric Initiative (OBI) is a Collaborative Quality Initiative (CQI) statewide quality improvement project working with approximately 70 Michigan maternity hospitals. OBI is working to address variation in obstetric care with a primary focus on promoting vaginal birth and safely lowering the cesarean delivery rate among low-risk patients. Additional initiatives include promoting birth equity, safe opioid prescribing and reducing maternal morbidity. We are currently seeking a dynamic and motivated self-starter to join our team in the role of Administrative Assistant.

Provide comprehensive administrative support to OBI's team, including but not limited to scheduling meetings and updating calendars, reserving space, ordering supplies and food, managing meeting agendas, and other tasks as assigned. Coordinate logistics for hospital site visits and other meetings. Responsibilities include scheduling coordination, room reservation, food ordering, and arranging transportation to ensure seamless visits. Oversee inventory management by tracking and distributing items to ensure the team has the necessary resources for meetings and events.Develop and maintain email groups and contact lists to facilitate effective communication.Lead the planning and coordination of program events. This includes organizing, scheduling, and actively managing logistics to ensure successful outcomes.Support daily operations by setting up virtual meetings, including webinars and workgroup video conferences, and managing training sessions.Manage financial transactions concerning vendor payments. Track expenses, process invoices, and handle procurement of goods/services using the M-Pathways system.Administer and process incentive payments to participants efficiently and accurately.Prepare detailed travel and reimbursement reports in compliance with organizational policies.Additional duties and responsibilities as assigned to support the overall effectiveness and efficiency of the team.Required Qualifications*Senior Level:
High school education with a minimum of four years of progressively more responsible administrative assistant experience. Demonstrated proficiency with Microsoft Office applications, as well as with Google Drive applications. Demonstrated experience using scheduling/meeting management software such as Zoom, Microsoft Teams and Doodle. Ability to perform highly responsible, administrative duties using independent judgment and professionalism.Ability to prioritize work with concurrent deadlines and operate in a fast-paced environment.Intermediate Level:
High school education with a minimum of two years of progressively more responsible administrative assistant experience. Demonstrated proficiency with Microsoft Office applications, as well as with Google Drive applications. Demonstrated experience using scheduling/meeting management software such as Zoom, Microsoft Teams and Doodle. Ability to perform highly responsible, administrative duties using independent judgment and professionalism.Ability to prioritize work with concurrent deadlines and operate in a fast-paced environment. Desired Qualifications*Prior experience within the University of Michigan and familiarity with their systems, policies, and procedures.
