Crane Game Vending LLC is seeking a reliable and detail-oriented Administrative Assistant to support the daily operations of our fast-paced vending business. The ideal candidate will be responsible for handling administrative tasks, providing customer service, coordinating with vending route drivers, and maintaining accurate records to ensure smooth and efficient business operations.
Key Responsibilities:
+ Answer and route incoming phone calls and emails
+ Coordinate and communicate with route drivers and technicians regarding service calls, inventory, and schedules
+ Manage and update vending machine inventory and service logs
+ Generate invoices, process payments, and assist with basic bookkeeping tasks
+ Maintain and organize company files, records, and documentation
+ Order office and vending supplies as needed
+ Assist in scheduling maintenance and restocking of vending machines
+ Help manage customer accounts and respond to inquiries or complaints professionally
+ Prepare reports on sales, inventory levels, and service performance
+ Support general office duties such as filing, scanning, and data entry
+ Support marketing efforts (printing materials, managing social media updates, etc.)
+ Additional tasks as assigned
Requirements:
+ Proven experience in an administrative or office support role (experience in vending, logistics, or service industries is a plus)
+ Strong organizational and time management skills
+ Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and basic accounting software
+ Excellent communication and interpersonal skills
+ Ability to multitask and prioritize in a fast-paced environment
+ Attention to detail and a proactive attitude
+ High school diploma or equivalent (associate degree or higher is a plus)
Preferred Qualifications:
+ Experience with route scheduling or dispatch systems
+ Familiarity with vending management software (e.g., Parlevel, Nayax, Vendsoft)
+ Bilingual (English/Spanish) a plus
Work Environment:
+ Office-based role with occasional interaction with route drivers and technicians
+ Standard office hours with some flexibility as needed
