Administrative Assistant: Part time

Under general supervision, this role provides essential administrative and clerical support to assigned staff members. Responsibilities include handling documentation, data processing, report generation, meeting scheduling, maintaining office files, and managing office supplies and equipment. This position also involves screening and prioritizing phone calls and mail, editing outgoing correspondence, and coordinating schedules. Cross-support for other administrative staff is provided as needed.

Qualifications:

High school diploma or equivaletMinimum of two years of clerical/administrative experience, ideally in a corporate environment.Proficiency in Microsoft Office (Word, Excel, PowerPoint); strong typing, proofreading, and communication skills.Ability to operate standard office equipment (phones, copiers, fax machines, etc.).Excellent interpersonal skills to manage communications and coordinate meetings across departments.Strong organizational and analytical skills, with attention to detail and confidentiality.Ability to handle multiple tasks and prioritize effectively in a dynamic environment.Commitment to Trinity Health's Mission, Vision, and Values.

Key Responsibilities:

Prepare, format, and summarize data for reports and projects.Assist with special projects and provide backup administrative support.Maintain accurate and organized file systems.Schedule and manage meetings and travel arrangements.Handle incoming calls and mail, ensuring prompt and accurate responses.Ensure adherence to Trinity Health policies and compliance standards.Promote a customer-focused work environment and provide excellent internal and external service.

Physical and Mental Requirements:

Primarily seated work with occasional walking, bending, and lifting of light office supplies.Ability to perform detailed tasks in a fast-paced, frequently changing environment.Must be able to travel between various work locations as needed.
