Position Overview:
Reporting to the Accounts Receivable Shared Services Manager, the Accounts Receivable Team Lead will be instrumental in managing daily accounts receivable operations, driving process improvements, and mentoring a team of AR specialists.
Essential Duties and Responsibilities:
Lead Accounts Receivable Processes:Manage complex customer accounts by leading internal and external customer collection meetingsManage customer collections, including review of aged accounts, creating form collection letters and sending customer statements. Analyze and monitor account balances, including effective control and communication program for all customer accounts that are late, overdue, or potentially overdue.Monitor key performance indicators (KPIs) and implement strategies to improve efficiency and reduce days sales outstanding (DSO).Manage the customer credit application and refund processes, ensuring they are handled efficiently and in compliance with company policy.Manage customer refunds process and ensure customer refunds are issued efficiently and in compliance with company policies.Lead customer account management ensuring adjustments to customer accounts, including finance charges, are posted in compliance with company policy. Perform routine and ad hoc analysis of customer account activity.Set up new customer accounts in the accounting software ensuring all customer demographic information is correct including addresses, email addresses, phone numbers and which contact method each customer prefers per onboarding documents. Other projects or tasks as assignedTeam Leadership:Provide day-to-day guidance, coaching, and support to our accounts receivable specialists. You'll be the go-to person for troubleshooting complex issues and ensuring the team meets its performance goals.Play a significant role in training new hires and helping current team members develop their skills. You'll be a leader who inspires and motivates the team to achieve their best.Foster a collaborative, positive, and efficient work environment in accordance with Wilbert Core Values.Act as a culture and thought leader, helping to establish and drive Wilbert’s continuous improvement and digital transformation. Process Improvement:Identify and implement process improvements to enhance the AR workflow. Support continuous improvement initiatives to simplify and automate AR processes, driving accuracy, efficiency gains and cost savings for the organization.Support new ERP implementation through customer account clean up and testing in the new ERP system.Support the design and implementation of standardized accounts receivable policies, processes, and procedures across various business units.Compliance and Reporting:Collaborate with the finance and accounting teams to ensure accurate bad debt allowance including improving process for specific reserves and identifying customer accounts to be written off.Assist with internal audits, providing necessary documentation and explanations.Act as subject matter expert and ensure compliance with all parent company Standard Practice Instructions related to AR processes. Customer Management:Maintain positive relationships with customers and resolve any issues or discrepancies.Support projects to streamline and standardize customer terms.Support projects to cleanse and normalize customer master data, including identification of like customers across three customer master tables.Ensure regular customer account reconciliations and maintain accurate customer records.Education, Experience & Skills Requirements:
Education: Bachelor’s degree: Accounting, Finance, or a related field.Experience: Minimum of 5 years of experience in accounts receivable and accounting (at least 2 years in supervisory role), specifically within a SOX-compliant environment.Skills:Experience with process automation, digital solutions, and ERP implementation.Experience in a leading a shared services team in a complex, multi-location organization.Experience with process improvement methodologies (e.g., Lean, Six Sigma).Strong leadership, team and performance management skills with the ability to motivate and inspire a team.Strong communication and interpersonal skills with the ability to build relationships with key stakeholders across the organization and with customers.Excellent organizational, project management, and time management abilities.Proficiency in ERP, accounts receivable, billing systems, end to end order to cash processes and automating accounts receivable processes. Strong analytical and problem-solving skills.Exceptional attention to detail and accuracy.Knowledge of GAAP and financial regulations.Professional certification (e.g., CPA, CMA) is a plus.Physical/Other Requirements:
