Description Position Overview: We are seeking a reliable and detail-oriented Accounts Receivable Specialist to join our team in the dynamic hospitality industry. As an Accounts Receivable Specialist, you will play a key role in ensuring accurate billing, payment processing, and account reconciliation for clients, guests, and business partners. This on-site position requires a detail oriented who thrives on organization, has strong communication skills, and is equipped with the financial expertise to support a fast-paced hospitality environment.
Key Responsibilities: Billing and Invoicing: Prepare and issue accurate invoices for a variety of hospitality-related transactions, including events, guest accommodations, corporate accounts, and vendor partnerships. Monitor and track outstanding balances, ensuring timely billing and adherence to payment terms. Payment Processing: Process incoming payments via credit card, check, or wire transfer, applying payments accurately to appropriate accounts. Assist in setting up and processing payment plans for guests or corporate clients as needed. Accounts Reconciliation: Reconcile accounts receivable transactions and balances with the general ledger on a regular basis. Investigate and resolve discrepancies in accounts by coordinating with internal teams or external clients. Credit Management: Evaluate customer credit applications and monitor existing customer payment terms to mitigate financial risk. Communicate with clients regarding overdue balances and facilitate collection efforts professionally to maintain positive business relationships. Reporting and Compliance: Generate regular reports on Accounts Receivable aging, payments, and variances for management review. Ensure compliance with company policies, hospitality accounting standards, and regulations. Collaboration: Work closely with sales, reservations, event teams, and customer service departments to ensure accurate billing and handle any special revenue arrangements. Communicate professionally and courteously with clients, guests, and internal departments to resolve inquiries or disputes. Requirements Qualifications: Education: High school diploma or equivalent required; an associate’s or bachelor’s degree in accounting, finance, or related field is preferred. Experience: Minimum of 2 years of accounts receivable or general accounting experience; experience in the hospitality industry is highly preferred. Knowledge of hospitality revenue streams such as room bookings, events, and food and beverage sales is valued. Technical Skills: Proficiency in accounting or property management software (e.g., QuickBooks, Opera, MICROS, or similar). Intermediate skills in Microsoft Excel, including experience with formulas, pivot tables, and reconciliations. Attributes: Strong attention to detail and accuracy in managing financial transactions. Excellent organizational and time management skills to handle multiple accounts and meet deadlines. detail oriented communication and customer service skills when dealing with clients and colleagues.
