Accounts Receivable Clerk
Description Position Overview: We are seeking a detail-oriented and dependable Accounts Receivable Clerk to join our team in the construction industry. As an integral part of the accounting department, the Accounts Receivable Clerk is responsible for managing billing, payment collection, account reconciliation, and providing exceptional service to internal and external stakeholders. This on-site role requires a strong attention to detail, excellent organizational skills, and a solid understanding of construction-related billing processes. Key Responsibilities: Billing and Invoicing: Prepare and issue client invoices for services, including progress billing for construction projects, retainage, and change orders. Ensure invoices are aligned with contracts, purchase orders, and project milestones. Maintain accurate records of all issued invoices for auditing and reporting purposes. Payment Processing: Record and apply payments received via ACH, checks, wires, or other payment methods. Reconcile incoming payments with open invoices and identify discrepancies for resolution. Monitor and follow up on outstanding balances to ensure timely collection. Accounts Reconciliation: Regularly reconcile accounts receivable balances with the general ledger. Investigate and resolve inconsistencies or disputes with customers in a detail oriented manner. Construction-Specific Functions: Track and monitor retainage balances and ensure proper invoicing and receipt in accordance with contractual agreements. Work with project managers to support accurate billing and allocation of payments to construction projects. Manage lien rights and associated documentation for overdue accounts to safeguard company interests. Reporting and Compliance: Prepare reports on accounts receivable aging, payment delinquencies, and collection status for management review. Ensure compliance with company policies, industry regulations, and applicable state laws. Collaboration: Work closely with internal teams, including project managers and accounts payable, to maintain accurate financial records. Communicate professionally and effectively with clients, vendors, and subcontractors to resolve payment-related inquiries. Requirements Qualifications: Education: High school diploma or equivalent required; associate’s degree in accounting, finance, or related field preferred. Experience: Minimum of 1–3 years of accounts receivable or general accounting experience; construction industry experience is highly preferred. Knowledge of construction billing processes such as progress billing, retainage, and lien documentation is a plus. Technical Skills: Proficiency in accounting software (e.g., Sage, Viewpoint, QuickBooks, or similar systems). Intermediate Microsoft Excel skills for tracking and reconciling accounts. Attributes: Strong attention to detail and accuracy in managing financial transactions.
