Job Description
The Accounts Receivable Specialist will be responsible for processing all incoming payments, validating them through accounting software, and managing checks received via mail which are deposited twice a week using remote desktop scanners. This role involves tracking aging and collection efforts for overdue payments, applied across multiple entities.
ResponsibilitiesProcess and validate incoming payments using accounting software.Manage checks received in the mail and deposit them using remote desktop scanners.Track aging and apply collection efforts for overdue payments with specified benchmarks across multiple companies.Distribute invoices by PDF or billing address, and upload to online portals for specific customers.Manage invoice volumes ranging from small online purchases to large orders under government contracts.Coordinate payment processing with billing, handling up to 90 customer payments weekly.Conduct collections calls, dedicating 1-2 hours daily to this task.Essential SkillsProficiency in billing, payment posting, and accounts receivable management.Experience with ERP systems such as Macola and Genius ERP. (any ERP okay)Ability to handle billing, aging reports, bank reconciliation, and payment processing.Experience in B2B collections (multiple entities preferred).Additional Skills & QualificationsExperience in manufacturing is a plus, but not required.Ability to work in a fast-paced environment while remaining organized.Strong attention to detail and ability to multitask across multiple portals and software.Work Environment
The position is office-based, with working hours from Monday to Friday, 7 AM to 4 PM, with a flexible start time. This is a contract-to-hire position in a fast-paced environment that requires pivoting between customer calls, payment processing, and dealing with internal interruptions from the sales and shipping team. The team is small, so attendance is crucial for workload coverage. The supervisor is introverted, requiring a focused and attentive candidate who is always available to assist clients and partners. Team culture emphasizes attention to detail, organization, and learning partner names for effective communication.
Pay and BenefitsThe pay range for this position is $26.00 - $27.00/hr.
