Accounts Payable Specialist - Part Time
Description We are looking for an experienced Accounts Payable Specialist to join our team in Rancho Santa Fe, California. This is a part-time Contract-to-permanent position that offers a dynamic work environment and the opportunity to contribute to a variety of finance and accounting tasks. The ideal candidate will have a strong background in accounts payable, vendor management, and exposure to general ledger systems, with the ability to work independently and collaboratively. Responsibilities: • Manage accounts payable processes, including coding, batching, and matching invoices to purchase orders. • Collaborate with vendors to resolve invoice discrepancies and provide backup documentation for vendor files. • Prepare weekly check runs and ensure accurate payment processing for a diverse portfolio of vendors. • Utilize the SpringBrook system to input and track financial data, ensuring compliance with organizational standards. • Process employee reimbursements for petty cash, travel expenses, and other related items. • Assist in payroll preparation for 50 employees, including auditing timecards and managing deductions. • Calculate overtime and shift differentials while maintaining accurate payroll records. • Ensure compliance with pension contributions, healthcare deductions, and 457/401k plans. • Support finance team during month-end and year-end processes as needed. • Maintain attention to detail and accuracy in all financial transactions. Requirements • Minimum of 2 years of experience in accounts payable, payroll, or related roles. • Proficiency in vendor management and resolving invoice discrepancies. • Familiarity with general ledger systems and requisition processing. • Experience using financial software, preferably SpringBrook or similar systems. • Strong attention to detail and organizational skills. • Ability to calculate payroll differentials and manage complex deductions. • Undergraduate degree in accounting, finance, or a related field preferred. • Proficiency in Microsoft Excel is a plus.
