Position Overview:
We are seeking a detail-oriented and organized Accounts Payable Specialist to join our on-site team in the construction industry. The Accounts Payable Specialist will be responsible for accurately managing the company’s financial obligations by processing invoices, reconciling payments, and ensuring compliance with company policies and industry practices. The ideal candidate will have experience in accounts payable, familiarity with construction-related accounting processes such as job costing, and a strong understanding of vendor relations in the construction field.
Key Responsibilities:
Invoice Processing:
+ Review, verify, and enter vendor and subcontractor invoices for construction projects.
+ Match invoices with purchase orders, contracts, work completion documents, and receiving reports.
+ Address and resolve discrepancies with vendors, project managers, or procurement teams.
Payment Management:
+ Prepare and process weekly payment schedules, including checks, ACH transactions, and wire transfers.
+ Ensure all payments are made in accordance with payment terms and contract requirements.
+ Maintain positive vendor relationships by ensuring timely and accurate payment processing.
Reconciliation and Recordkeeping:
+ Reconcile accounts payable reports with vendor statements and the general ledger.
+ Maintain organized records of all invoices, payments, and documentation for auditing and compliance.
+ Assist with month-end and year-end closing processes, ensuring accuracy in accounts payable balances.
Construction-Specific Tasks:
+ Process and manage lien waivers and subcontractor compliance documents.
+ Work closely with project managers to allocate costs appropriately by job or task for accurate project cost tracking.
+ Understand and comply with prevailing wage/project labor agreements and related reporting requirements.
Reporting and Compliance:
+ Generate and review regular accounts payable reports, such as aging schedules, cost tracking, and spending analysis.
+ Ensure compliance with state and federal regulations as well as company policies.
+ Assist in responding to any financial inquiries or audits as required.
Requirements
Qualifications:
+ Education: High school diploma or equivalent required; an associate’s or bachelor’s degree in accounting, finance, or related field is preferred.
+ Experience:
+ At least 2 years of accounts payable experience, ideally in the construction industry.
+ Familiarity with job costing and construction-specific accounting workflows is a strong plus.
+ Technical Proficiency:
+ Experience with industry-specific accounting software (e.g., Sage, Viewpoint, Procore, or similar).
+ Proficiency in Microsoft Excel for data entry and reporting.
+ Skills:
+ Highly organized with the ability to handle high volumes of invoices and transactions.
+ Strong problem-solving skills to manage invoice issues and discrepancies.
+ Excellent communication skills to collaborate with vendors and internal teams.
+ Knowledge:
+ Familiarity with lien waiver processes, subcontractor agreements, and tax compliance related to construction projects.
