Description Position Summary: The Accounts Payable (AP) Specialist is responsible for processing and maintaining accurate and timely accounts payable transactions in accordance with the organization's financial policies and procedures. This role plays a key part in ensuring fiscal accountability and vendor satisfaction, while upholding the integrity of our financial practices. Key Responsibilities: + Process vendor invoices and employee expense reports, ensuring accuracy, coding, and proper authorization. + Match purchase orders, receipts, and invoices; investigate and resolve discrepancies. + Prepare and process weekly payment runs via check, ACH, and wire transfer. + Maintain vendor files and ensure up-to-date W-9s and compliance with 1099 reporting requirements. + Communicate with vendors and internal staff to resolve payment or invoice issues in a timely manner. + Assist with month-end closing activities, including AP accruals and reconciliations. + Collaborate with program and administrative teams to ensure appropriate cost allocations (e.g., grants, departments, projects). + Ensure adherence to internal controls, funder compliance, and organizational financial policies. + Support annual audits and financial reviews by providing required documentation and reports. + Participate in process improvements and implementation of accounting system enhancements. Requirements Qualifications: + 2+ years of accounts payable or general accounting experience. + High school diploma or equivalent (Associate’s or Bachelor’s degree in Accounting or Finance preferred). + Proficiency with accounting systems (e.g., QuickBooks, Sage Intacct, or similar) and Microsoft Excel. + Strong attention to detail and ability to manage multiple priorities in a deadline-driven environment. + Excellent communication and interpersonal skills.
