Accounts Payable Specialist
Description We are looking for an experienced Accounts Payable Specialist to join our dynamic and growing team in Irvine, California in the Medical Device industry. This long-term contract position involves managing full-cycle accounts payable processes, employee expense reports, and performing specific general ledger tasks. The ideal candidate will thrive in a fast-paced environment and demonstrate excellent organizational and problem-solving skills. Responsibilities: • Oversee the entire accounts payable process, including verifying and processing invoices, performing 3-way matching, and maintaining accurate records for audits. • Communicate with vendors to address inquiries, resolve disputes, and manage payment schedules. • Process electronic payment runs and prepare payment registers on a weekly basis. • Reconcile accounts payable aging balances and review distribution reports at month-end. • Ensure compliance with accounting policies by reviewing and maintaining supporting documentation. • Process and audit employee expense reports, ensuring adherence to company travel and expense policies. • Prepare journal entries, including accruals, and reconcile general ledger accounts related to liabilities and prepaid expenses. • Assist with year-end tax reporting, including the preparation of Form 1099. • Participate in special projects and provide recommendations to improve payable processes. • Collaborate with internal teams and external vendors to ensure smooth operations and maintain strong relationships. Requirements • Associate degree in accounting or equivalent work experience. • At least 3-5 years of experience in accounts payable or a related field. • Proficiency in accounting software systems, including Concur and ERP platforms. • Strong attention to detail and ability to work independently with minimal supervision. • Excellent communication skills, both written and verbal, with a focus on customer service. • Experience with 3-way matching, journal entry preparation, and account reconciliations. • Familiarity with year-end tax reporting processes, such as Form 1099 preparation. • Ability to manage multiple priorities and meet deadlines, including occasional overtime.
