Accounts Payable Specialist
Description We are seeking a reliable and detail-oriented Accounts Payable Specialist with experience in the construction industry to join our accounting team. This role is responsible for the accurate and timely processing of invoices, subcontractor payments, lien waivers, and job cost allocations. The ideal candidate will have a strong understanding of construction accounting practices and vendor compliance requirements. Key Responsibilities: + Review, code, and process vendor and subcontractor invoices, ensuring accuracy and alignment with purchase orders and contracts + Perform 3-way matching on purchase orders, delivery receipts, and invoices + Ensure proper job costing by coding expenses to appropriate projects, cost codes, and phases + Verify and track lien waivers, certificates of insurance (COIs), and compliance documents from subcontractors and vendors + Process check runs, ACH payments, and credit card transactions according to company schedule and policies + Reconcile vendor statements and respond to inquiries regarding payment status or discrepancies + Maintain vendor files, W-9s, and ensure proper setup in the accounting system + Assist with monthly close by preparing AP accruals and ensuring accurate reporting + Support internal and external audits by providing requested documentation + Collaborate with project managers and procurement to resolve invoice issues Requirements Qualifications: + 3+ years of accounts payable experience, preferably in construction or a related industry + Strong understanding of job cost accounting, lien releases, and subcontractor compliance + Proficiency in construction accounting software such as Sage 300 CRE (Timberline), Viewpoint Vista, Foundation, or similar + High attention to detail and accuracy in a fast-paced, high-volume environment + Excellent communication and organizational skills + Proficient in Microsoft Excel and general accounting principles + Associate’s degree in Accounting, Business, or related field preferred Preferred: + Experience working with GCs, subcontractors, or union labor + Familiarity with retention tracking, AIA billing, and progress payment applications + Bilingual (English/Spanish) a plus, depending on workforce Robert Half is the world’s first and largest specialized talent solutions firm that connects highly qualified job seekers to opportunities at great companies.
