Accounts Payable Coordinator
Overview Effectively manage communications and tasks using Microsoft Outlook. Build strong vendor relationships by reconciling invoices and supporting accurate, timely payments. Act as a liaison to ensure compliance with accounting policies and procedures. Maintain organized filing systems and provide audit support. Assist with invoice printing, matching, and processing. Responsibilities Essential Duties and Responsibilities include the following. Other duties may be assigned. Utilize Microsoft Outlook to manage day-to-day communications, send professional correspondence, set reminders, and organize tasks effectively. Must demonstrate strong organizational skills and attention to detail in email management. Develop and maintain strong partnerships with vendors to facilitate smooth business operations. Reconcile invoices, identify discrepancies or inconsistencies, and take proactive steps to resolve any issues related to billing. Collaborate with the A/P team to ensure accurate record-keeping and timely payment processing to maintain positive vendor relationships. Serve as a liaison to effectively communicate and coordinate accounting policies, practices, and procedures with various stakeholders, including department heads, managers, and vendors. Ensure adherence to company policies and compliance with relevant regulations. Maintain multiple filing systems and provide documentation and support during internal and external audits. Create purchase orders to match and process service invoices, ensuring timely payment and accurate financial records. Education and/or Experience High school diploma required. 2+ years of resort Accounts Payable or resort accounting experience preferred. Language Skills Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals. Ability to write routine reports and correspondence. Ability to speak effectively before groups of customers or team members of organization. Mathematical Skills Ability to calculate figures and amounts such as discounts, taxes, commissions, and percentages. Reasoning Ability Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations. Computer Skills To perform this job successfully, an individual should have proficient knowledge of Microsoft Outlook. Additional use of Microsoft Nav, Excel, OneNote, Adobe Acrobat, and Concur will be necessary.
