Accounts Payable Assistant Manager
Job Purpose & Scope Supports the AP Manager by overseeing the day-to-day operations of the AP Department. Essential Job Functions Supervises and trains AP staff, including delegating tasks and providing feedback. Oversees daily payment processing, including checks, ACH and wire transfers. Reconciles monthly corporate credit card statement and ensures all employee reports are received prior to due date. Assists in accounts payable training to ensure adherence to company travel policies as well as governmental, regulatory, and legislative requirements. Reviews payments in A/P system for accuracy. Performs analysis and research of Accounts Payable data and makes recommendations on staff development and/or training opportunities. Maintains vendor records, including W-9 information and 1099 preparation. Monitors Accounts Payable processes, reports inefficiencies, and makes process improvement recommendations to AP Manager. Supports integration activities during acquisitions and system transitions. Collaborates with AP Manager to respond to internal and external audit requests. Participates in special projects and ad-hoc tasks, as needed. Manages outstanding checks and follows up on uncashed payments. Reviews and approves new vendors as well as modifications. Knowledge, Skills & Abilities Knowledge of modern accounting theory, principles and practices. Knowledge of office automation and computerized financial applications. Strong ability to exercise discretion and sound judgment in decision-making. Ability to establish and maintain effective working relationships with employees, vendors and /or customers. Ability to lead and supervise employees effectively. Ability to manage multiple priorities and projects, as well as the ability to adapt quickly to changing needs. Ability to prepare and analyze complex financial reports. Ability to communicate effectively both verbally and in writing. Ability to demonstrate initiative to accomplish work objectives. Ability to demonstrate effective organization, critical thinking, analytical and problem-solving skills. Ability to work without close supervision. Ability to maintain confidentiality. Skill in using computer and Microsoft Office, including Outlook, Word, Excel, and PowerPoint. Basic Qualifications Bachelor’s degree in business, finance, accounting or other job-related field, or commensurate work experience, required. 4+ years of work experience in Accounts Payable or Accounting, required. 1+ years of experience in a supervisory role, required.
