Accounting Specialist – Convenience Store Operations

Full-Time, Hourly Position

Position is based out of our Home Office in Bear Lake, Michigan

Role Responsibilities: 

JOB PURPOSE:  

Audit, verify, and reconcile daily and monthly transactions for assigned Convenience Stores, ensuring transactions are recorded accurately and comply with the company’s accounting policies and procedures.

 

KNOWLEDGE AND EXPERIENCE: 

High school diploma or GED, combined with previous bookkeeping experience are required.Good communication skills and the ability to work with Store Managers effectively are necessary.Good organizational skills and the ability to organize and prioritize daily and weekly tasks are essential.Good math skills and attention to detail are essential.Accuracy and good data entry skills are required.The ability to work effectively in a team environment is necessary.Computer literacy and experience using spreadsheet application software are required.

 

YOUR DAILY DUTIES:

Reconciliation and verification of various transactions for assigned convenience stores, subway, cardlock, and other various locations. This includes but is not limited to: Bank deposits, coupons, paid outs, credit cards, fuel, etc.Weekly reconciliation of State of Michigan lottery.Importing and reconciliation of fuel Bill of Ladings.Balancing and posting local charges.PDI Item Reconciliation (Sales vs. Payment)These items are reconciled weekly and daily, according to timing of reports. Completion of these items can average 4-5 monthly days for each team member, depending on business needs.Daily duties include auditing information between site and reports and making appropriate adjustments. Reconciliation of and adjustment of BOL’s and Fuel make up a large part of the weekly routine.The completion timeline of these tasks is dependent on investigation time and business issues.Investigation and ReconciliationData entry and auditing of sites that do not import into our system and reconciling them as well. These include but are not limited to: Cardlocks, Hillman Subway and Parkdale/Texaco oil change facilities.Completion time of these tasks varies based on business needs.EOM PROCESSES: This is a review of changes and outstanding balances. Completion of these End Of Month Audit items can average 1-2 days for the team. Identify any variances and resolve with store leadership and area management.Provide customer support to resolve credit card charges being disputed.This communication will happen via email, store requests, phone calls, and District Manager requests.Research credit card inquiries of brands to verify customer charges and refunds, and any investigation required by our department.Prepare month-end reconciliations and activities supporting month-end closing. This includes:Review all processed and approved reconciliations, counting, shredding and file cabinet organization, etc. Follow accounting policies and procedures. Complete company-required training within established deadlines.

PHYSICAL AND ENVIRONMENTAL CONDITIONS: 

Work is performed in a climate-controlled office environment.Prolonged periods sitting at a desk and working on a computer.Extensive typing and/or data entry.Occasional work in document storage areas around historical records.Must be able to lift up to 15 pounds.
