Accounting Assistant
Description We are seeking an organized and detail-oriented Accounting Assistant detail oriented to join our client's team on a long-term contract basis in Lancaster, PA. This role is ideal for someone who values stability and is looking to contribute their expertise in a small office setting with excellent income-earning potential. Responsibilities: + Process Accounts Payable, Accounts Receivable, and Billing tasks daily with accuracy. + Provide high-quality service in a friendly and courteous manner to all customer interactions. + Answer incoming calls with a pleasant and detail oriented phone demeanor. + Assist customers with inquiries related to product availability, pricing, billing, and delivery. + Coordinate with the warehouse manager and purchasing agent to ensure precise reporting, order processing, and billing. + Prepare and provide Bills of Lading and UPS billing labels to the warehouse. + Maintain and organize customer files efficiently. + Compile weekly sales reports for the President, Controller, and Sales Manager. + Manage and distribute price changes within customer accounts and databases as directed. + Create and update Word documents and Excel spreadsheets for sales comparisons, mileage tracking, customer communications, and mass mailings. + Retrieve and distribute mail on a daily basis. + Support the President and Controller with administrative tasks as needed. Requirements Qualifications: + Strong ability to handle multiple tasks efficiently while effectively prioritizing responsibilities. + Exceptional attention to detail and a high level of organizational skills to ensure accuracy in all work processes. + Proficiency in Microsoft Excel, Word, and general computer applications, including email communication. + Excellent phone communication skills and the ability to deliver superior customer service. + Familiarity with customer order entry systems; training will be provided for specific tools or platforms, such as Integra. + Solid understanding of invoicing and billing processes, with a focus on accuracy and timeliness. + Comfortable with physical tasks, including navigating the warehouse, filing, light bending, and occasional use of a step stool. + Experience or willingness to cross-train in purchasing, including vendor management, pricing strategies, and coordinating with trucking companies is a plus.
