Description We are looking for a detail-oriented Accounting Assistant to join our team in Groveland, Florida. This Contract-to-permanent position offers an excellent opportunity to support key financial and administrative functions within a dynamic environment. The ideal candidate will excel in handling accounts payable, payroll management, and other essential office tasks while ensuring compliance with company policies.
Responsibilities:
• Oversee accounts payable processes, including invoice handling, vendor setup, and monitoring subcontractor insurance certificates.
• Organize and maintain AP documents, such as invoices, delivery notes, and proof of services, ensuring proper filing and scanning.
• Update and manage tracking sheets in Excel to accurately record delivery information, quantities, cost codes, and other relevant data.
• Provide assistance to project staff regarding JD Edwards system usage, payment schedules, and accrued costs.
• Communicate with subcontractors and suppliers to verify invoices, collect necessary documentation, and ensure compliance with lien requirements.
• Support payroll operations by entering time data, processing certified payrolls, and preparing payroll reports.
• Serve as a point of contact for craft and staff inquiries, directing them to appropriate office personnel when needed.
• Foster positive relationships with regional, divisional, and corporate administrative departments.
• Implement internal controls to maintain compliance with organizational policies and procedures.
• Manage record storage and uphold audit readiness to ensure proper documentation and regulatory compliance. Requirements • Proficiency in ADP Financial Services and CaseWare systems.
• Experience working with ERP software and accounting functions.
• Strong knowledge of accounts payable and accounts receivable processes.
• Familiarity with auditing procedures and bank reconciliations.
• Advanced Excel skills for tracking and reporting purposes.
• Ability to maintain accurate records and ensure compliance with company policies.
• Excellent communication skills for interacting with subcontractors, suppliers, and internal teams.
• Previous experience in payroll management and certified payroll reporting.
