General NotesThe Dell Medical School is seeking an Academic Program Coordinator.
Purpose
The Academic Program Coordinator is responsible for overseeing and managing educational programs within the healthcare system. This role involves developing program curricula, coordinating with faculty and students, and ensuring the program meets educational goals and standards. The coordinator ensures compliance with educational standards and regulations, manages budgets, and organizes educational events.
Responsibilities
Develops and implements academic program plans, curricula, and schedules.
Coordinates with faculty to align program objectives with educational goals.
Monitors and assesses program effectiveness, making improvements as needed.
Manage the Learning Management System (Canvas), course syllabi, support documents and exams.
Student Support and GuidanceProvides academic guidance and support to students.
Monitors student progress and addresses any concerns or problems.
Organizes and conducts orientation sessions and workshops for students.
Primary student contact for the year round/four-year longitudinal courses and Enrichment Electives.
Administrative CoordinationManages program budgets and resources effectively.
Prepares reports on program activities, progress, and status.
Maintains program records and documentation.
Faculty CollaborationCoordinates with faculty to ensure smooth program delivery.
Assists in the recruitment and training of faculty members.
Organizes faculty meetings and professional development sessions.
Event Planning and ManagementPlans and organizes educational events, workshops, and seminars.
Coordinates logistics for program-related events including reserving rooms, securing audiovisual support, acquiring supplies/resources, creating invitations and publicity materials.
Communicates regularly with students, parents, faculty, and administrators.
Executes day-of-event activities prioritizing activities and leading support team.
Marginal or Periodic FunctionsAssists in the recruitment and admissions processes.
Participates in strategic planning and program evaluation.
Supports marketing and outreach efforts for the program.
Manages special projects as assigned.
Provides backup support for other administrative roles as needed.
Adheres to internal controls and reporting structure.
Performs related duties as required.
Other related duties as assigned.

Maintaining program records, preparing detailed reports, monitoring compliance.
Proficient in Microsoft Word, Excel, and PowerPoint, Microsoft Outlook, and web-based programs.
Required Qualifications
Bachelor’s degree in education, Business Administration, or a related field. Minimum of 3 years of relevant experience in an educational or administrative setting. Relevant education and experience may be substituted as appropriate.

Preferred Qualifications
Master's degree in Education, Business Administration, or a related field. Minimum of 5 years of relevant experience, including experience in program coordination or management. Experience using curriculum management systems or learning management systems. Project Management Professional (PMP) certification. Certified Program Planner (CPP) certification.

This position is hybrid eligible. After the first 60 days in person the employee may request hybrid work one day a week remotely.

Salary Range
$49,975 + depending on qualifications
