Academic Operations Manager, Frank Batten School of Leadership and Public Policy

The Frank Batten School of Leadership and Public Policy seeks applicants for the position of the Academic Operations Manager (AOM), who serves as the School Registrar and is a critical member of the Academic Operations team within the School’s larger Student Success unit. The Academic Operations team is responsible for directly supporting student academic success through advising, monitoring, and programming while executing the functions that deliver undergraduate, graduate, and non-degree curricula.

Reporting to the Director of Academic Operations, the AOM provides logistical support and data management in support of course scheduling, academic planning, space management, and faculty communication. The AOM ensures accuracy, integrity, and confidentiality of the student academic records for the Batten School. The AOM partners with Academic Operations team members to report, audit, and communicate student progress throughout their time at the School. They perform a variety of data-related transactions in SIS and other UVA systems to update student records, process transfer credit, build the schedule of classes each semester, and maintain Batten policies within the Record.

Developing and maintaining key relationships with schools, units, and departments across the University, such as the Office of the University Registrar (UREG), Student Financial Services (SFS), and the UVA Military Educational Benefits Team is an essential part of this role.  The AOM supports both faculty and staff in the areas of  providing data and communication to support advising, academic events, and course execution. The AOM will provide auxiliary support for the Batten School’s faculty research speakers, faculty recruiting, and other on-demand administrative support as required.

The successful candidate will have experience working with student records, data management, and student information systems. They will develop and implement innovative ways to streamline and improve processes to make them more efficient and effective. In addition, candidates should demonstrate excellent organizational skills, outstanding customer service, strong interpersonal skills, a commitment to supporting a diverse community of learners, and the ability to thrive in a fast-paced, team-oriented, and entrepreneurial environment. Creativity, strong written and oral communication skills, and technology proficiency are vital. Due to the seasonal nature of the academic year, during times such as enrollment and course scheduling, the position may require work outside of normal business hours.

Responsibilities 
Course Scheduling and Academic Planning

Collaborate with the Director of Academic Operations to create the master schedule of courses for each term  Ensure the complete and accurate entry of the schedule of courses in the UVA Student Information System (SIS) for undergraduate, graduate, and non-degree programs at BattenProvide enrollment services for various Batten student populations  Manage classroom reservations as required for teaching needs. Manage Batten’s academic spaces for faculty and GTA office hours as neededTrack and maintain updates to academic policies, degree programs, and courses in the Undergraduate and Graduate Records, academic requirements reports, SIS, and Stellic 

Academic Reporting and Record Keeping 

Provide accurate and timely reporting and analysis for all Batten  programs  Perform recurring degree audits to ensure students are meeting their academic requirements Maintain student records and enter exceptions/substitutions for requirements when approved by advisorsReview transcripts and test scores to evaluate and process transfer and study abroad credit

Support for Academic Advisors

Communicate any academic policy or procedure changes to advisors and share information that may impact their work with students  Create and maintaining workflows for the team that support the matriculation, progress, support and graduation of studentsUpdate advisors of advising timelines with University deadlines and other needed information  Coordinate academic operations-related communications with students, faculty, and the School community as needed Collaborate with Academic Operations team members to develop and implement processes that assist with student support

Support of Course Execution

In collaboration with the Director of Faculty Affairs and Director of Academic Operations, communicate with faculty about class scheduling, needed teaching tools, room scheduling, special speakers or events, grade submission, etc.Review and catalog syllabi every semesterPrepare for the beginning and end of each academic semester through a variety of administrative tasks and reporting functions

Unit-Related Support 

Assist the Student Engagement & Academic Operations teams with Graduation (Final Exercises) and other program events and operational needs  Assist the Student Services & Academic Operations teams with all orientation programmingProviding auxiliary support to the broader Academic Affairs teamOther duties as assigned

Minimum Qualifications

Bachelor's degreeAt least five years of experience in academic administation

Preferred Qualifications:

Experience with higher education working with student records.Experience working with SIS, Image Now, UBI, Stellic and/or Salesforce.The ability to work independently and as part of a team.Exceptional organizational skills, including the ability to create and maintain organized workflows and processes with attention to detail.The ability to meet competing deadlines and maintain accuracy.Outstanding customer service skills and a willingness to solve novel problems while centering students.Excellent oral, written, and interpersonal communication skills.Demonstrated discretion with confidential and sensitive information and matters.High degree of comfort with technology and ability to learn new systems and platforms quickly.Ability to maintain and promote a collegial and collaborative atmosphere among Batten faculty and staff.

This is primarily a sedentary job involving extensive use of desktop computers.

The anticipated hiring range is $60,000-$67,000, commensurate with education and experience.
