Overall Role

As an Assistant Facilities Manager, support the account manager by performing various support and coordination works

Duties & responsibilities

Supporting Account Manager

Provide support to the account manager in order to organize the overall operations handled by JLL in line with practical operationsOrganize documents and client communication required for company housing and fleet management with the clear demarcation of JLL scope of servicesOrganize documents, including folder hierarchy maintenance and correction of past deficiencies, to enable the efficient day-to-day operationSupport Account Manager in understanding the contents of operating manuals taken over from the previous service provider, adjusting and improving them in line with practical operations, creating manuals for processes for which procedures have not yet been establishedSupport Account Manager in understanding and organizing the contents of the contracts and necessary communication regarding the services currently being performed by Managing Agency, assuming that JLL will be the principal in the future

Vendor Management

Handle vendor communication by explaining works, obtaining quotations, and coordinating works based on the instruction by the account managerManage the coordination of incumbent building management company when required (e.g. ad-hoc cleaning, pest control)Support for coordination tasks to be performed as a part of on-site FM team when projects occur

Knowledge And Skills Required

Experience of Excel, Word and PowerPointBusiness level of English and Japanese

Competency

More than 2 years experiences in facilities management or equivalent industriesFriendly, helpful and willing to go above and beyond to help meet our customer’s needsAble to prioritize effectivelyProactive and positive attitudeTeam playerExcellent interpersonal and communication skills, including understanding for the use of confidentiality and diplomacyExcellent multi-tasking and organizational skillsAbility to work in a fast-paced environment and meet deadlines
