Job Description

We are looking for an organized and detail-oriented Delivery Operation Support professional to manage daily operations, support resource allocation, and ensure smooth delivery operations. This role will focus on providing operational and project administrative support to the team, handling internal processes, managing key reporting tasks, and automating daily workflows. This position is crucial for optimizing resource management, tracking compliance, and improving project efficiency.

Key Responsibilities

Project Support and Process Optimization (50%)

Resource Allocation and Document Management: Oversee resource planning for PRC and SEA, keeping staff records up to date, including visa status, project assignments, and other details.Compliance Tracking and Approvals: Coordinate weekly tracking of visa statuses, resource release plans, and related lists, and follow up monthly on timesheets, travel, and vendor payments to ensure compliance.Maintain Routine Reports: Automate routine reports (e.g., MSPO resource plan, timesheet standard), reducing 30-50% of manual workload, ensuring timely and accurate updates of operational metrics to all relevant stakeholders.Internal Coordination: Assist with various internal processes, such as intern attendance approvals, collection of client thank-you letters, and access card management, ensuring all administrative tasks are executed smoothly and on time.Other necessary ODC delivery team support tasks

Operational Efficiency and Process Automation (30%)

Automation of Administrative Workflows: Identify optimization opportunities for repetitive administrative tasks (e.g., MSPO resource management, compliance tracking) and develop automation solutions.Maintain Operational Dashboards: Assist in developing and maintaining Power BI dashboards to display key operational metrics (such as resource utilization and project status) to facilitate data-driven decision-making.

Cross-Function Support and Coordination (20%)

Cross-Team Liaison: Act as the main stakeholder between IT, HR, Finance, and delivery teams, ensuring smooth and accurate communication of cross-functional operational workflows.transitions, client documentation, and troubleshooting process issues, acting as an internal support resource for stakeholders to ensure smooth operations.

Business Review and Risk Management

Support Business Reviews: Assist in preparing monthly/quarterly business reviews, collecting necessary reports, performing variance analysis, and supporting risk mitigation planning.Documentation and Reporting: Prepare internal documentation required by business stakeholders and ensure that all compliance and operational reports are ready for management review.

Requirements

Essential Qualifications

Experience: 2-3 years of experience in management consulting, operations coordination, or business operations, with experience in SDLC, Agile, or IT-related processes being preferred.

Technical Skills:

Proficient in Power BI and Excel to manage dashboards and reports.Familiarity with systems such as MSPO, Ariba for tracking resource allocation and compliance.

Operational Acumen:

Experience in managing administrative workflows, compliance tracking, and resource document management.Strong organizational skills, capable of managing multiple tasks (such as approvals, reports, and cross-department coordination) simultaneously.

Soft Skills:

Ability to proactively address issues in a fast-paced, dynamic environment.Proficiency in both English and Cantonese, with strong communication skills.

Preferred Qualifications

Basic knowledge of IT infrastructure (e.g., cloud platforms, cybersecurity frameworks) is a plus.
